Responsibilities and Qualifications

Overview:

 

This position provides the Assistant Cancer Registrar with experience in the technical aspects of cancer registry operations and compliments the knowledge gained during the academic portion of their training. The Assistant Cancer Registrar will work under the direct supervision of an active Certified Tumor Registrar (CTR).They will obtain experience in the application of abstracting, follow-up, case finding, coordination of Cancer Conference meetings, maintain quality control of all new patients with the initial diagnosis of cancer, acquire understanding of medical terminology, coding cancer diagnosis utilizing ICD-O-3. They will participate in the on line education Certified Cancer Registrars program in order to be eligible to sit for the CTR certification exam.

 

Responsibilities:

 

  • Coordination of Service:
  1. Ensures the inclusion of all patients diagnosed and/or treated for malignancies; provides synthesis of information from pathology reports, EMR, computer generated reports,
  2. Retrieves and inputs into the Metric data base, the most current and accurate follow-up information.
  3. Assists with general daily functions of the Cancer Registry Department.

 

  • Complex Aspects:
  1. Case finding; Utilizes current ACoS principles and cancer committee directives to establish reportable and non reportable cases. Source of documents includes, but are not limited to, pathology, radiation oncology, medical oncology, EMR.
  2. Demonstrates proper time management skills and priority setting.

 

  • Abstracting:
  1. Works under the supervision of a CTR.
  2. Determines from source documents: patient demographics characteristics; Morphology and histology of primary cancer according to current edition of ICD-O-3.
  3. Diagnostic procedures
  4. Stage/extent of disease using both SEER and current TNM guidelines and all relevant medical treatment modalities.
    • Follow-up:
  5. Follow all living patients with reportable malignancies (except carcinoma in situ of cervix and non-analytic) to obtain vital status, cancer status, subsequent treatment received, and inputs information into cancer registry data base.
  6. Assists in maintaining follow up rates for compliance as set forth by the ACoS.
    • Primary Aspects:
  7. Demonstrates flexibility regarding workload, assignments and change.
  8. Maintains quality control of case finding, abstracting, follow-up, and data entry with a minimum overall accuracy

         rate of greater than 90%.

  1. All data input is reviewed daily by a CTR.
  2. Assists in special projects

 

  • Quality Control:
  1. Maintain quality control of all case finding on all patients with an initial diagnosis of cancer.
  2. Understanding of medical terminology, coding cancer diagnosis utilizing ICD-O-3.
  3. Review documentation in EMR to identify all pertinent facts necessary to select the comprehensive procedures and diagnosis that fully describe the patient’s treatment.
  4. Ensure follow-up rate of 90% on all patient diagnosed within the last 5 years and 80% on all patients diagnosed >5 years.
  5. Strong emphasis on accuracy and detail.

 

  • Communication:
  1. Demonstrates good interpersonal; skills and ability to communicate effectively with staff.
  2. Assists Cancer Registry in assembling and disseminating data collection.
  3. Answers requests for data
  4. Communicates potential problems to appropriate personnel.

 

9.1 Technology:

  1. Demonstrates good working knowledge of current software programs.
  2. demonstrates the ability to maintain accurate data entry relevant to cancer cases utilizing current software.
  3. proficient in the use of personal computer.
  4. Attends education workshops as scheduled.

Education:

Associates Degree in related health field.

2 semesters of college level anatomy and physiology

Certification/Registration:

CTR certification required within 2 years of employment.

Other Skills and Knowledge:

Must have a working knowledge of medical terminology, anatomy and physiology, medical records procedures.

Excellent communication and computer skills required. Ability to flexible, fast learner, highly productive, team player and adapts to change.

Requires accuracy, attention to detail and strong communication skills.
