    Responsibilities and Qualifications

    Under the direction of the Manager, will perform a wide variety of duties to provide clerical and administrative support. Activities include, but are not limited to, maintenance of employee files, completion of payroll, and insuring adequate and proper unit and office supplies. Interacts with employees and members of other departments. Assists in unit operational support tasks; assists with Human Resources management; works cooperatively with others as part of a team and recognizes the importance of group goals. Responds to requests within authorized scope of knowledge and skills.

    • High School Diploma or G.E.D
    • Must have excellent communication skills and guest relations expertise.
    • Working knowledge of medical terminology, typing and computer data entry skills required.


    A. Payroll - Ensures accuracy of hours worked for all co-workers for department
    a. Review timekeeping records daily and updates as needed.
    b. Verifies hours - transferring hours correctly, based on the position eligibility and complex pay rules/
    Compliance issues.
    c. Generates reports from timekeeping system for managers and researches variances of the bi-weekly
    B. Budget/Productivity - identifies and analyzes variances
    C. Supply - determines PAR levels for supplies, orders and reconciles
    D. Mercy Insight - Generates reports and completes basic analysis

    Human Resources:
    A. Tracks compliance dates, reminds coworker's of mandatories needed. Includes, PPD's, Fire/Severe
    Weather, Hazard Communications, Infection Control, Mass Casualty and department mandatories.
    B. Processes highly confidential information is a secure manner
    C. Counseling - Tracks and identifies co-workers for counseling due to tardies and absences. Prepares
    counseling documents.
    D. Evaluations - puts packets together for Managers and co-workers with all past year information and
    peer/self evaluations
    E. Status Changes - Processes co-worker changes and terminations by preparing correct forms, submits
    for leader's signature, determines vacancies and requests approvals of job requisitions.
    F. Preparations for New Co-Workers - requests access fro MISD, verifies badge function, assigning mailbox
    and locker and reviews appropriate department policies/practices with new coworker.
    G. PTO - verifies balances for vacation request or to meet FTE. Assists with PTO sellback as needed

    A. Demonstrates competence in utilizing M-shift software
    B. Demonstrates competence in utilizing Kronos software
    C. Demonstrates competence in Microsoft Office software applications.
    D. Demonstrates competence in Mercy Insight.

    Staff Scheduling:
    Using software systems (Kronos and M-Shift), performs scheduling process for department with attention given to type of shifts being worked, i.e. precepting, educations, SNSP, etc. This includes preparing assignment sheets, providing updates/changes. Assists in ensuring shifs are staffed by making phone calls and posting shifts.

    Unit Operations:
    A. As unit liaison, communicates all needed information to coworkers and leaders in a timely fashion.
    Schedules unit meetings, attends and records meeting minutes. Participates in unit activities and meetings,
    particularly concerning unit operations.
    B. Demonstrates skill at time management and priority setting.
